About the role:

We are seeking a skilled Document Controller to join our team and support the documentation management for our large-scale renewable energy projects in Australia. The Document Controller will play a crucial role in ensuring that project documentation is accurately managed, controlled, and maintained throughout the project lifecycle.

Responsibilities:

  • Establish and maintain document control processes and systems to ensure efficient management of project documentation.
  • Receive, log, and distribute incoming project documents such as drawings, specifications, contracts, and correspondence.
  • Organize and maintain both electronic and hard copy filing systems for easy retrieval of project documentation.
  • Ensure that all project documents are accurately labelled, indexed, and stored in accordance with project requirements and company standards.
  • Collaborate with project teams, subcontractors, and stakeholders to ensure timely review, approval, and distribution of documents.
  • Monitor document workflows to track the progress of document reviews, approvals, and revisions.
  • Conduct regular audits of project documentation to ensure compliance with quality standards, contractual requirements, and regulatory obligations.
  • Assist in the preparation and compilation of documentation for project handover and closeout.
  • Provide support and training to project team members on document control processes and systems as needed.
  • Stay updated on industry best practices, technologies, and tools related to document control.

Skills and Experience

  • Bachelor’s degree or 2 years equivalent experience in a relevant field such as business administration, project management, or engineering.
  • Proven experience working as a Document Controller, preferably in the renewable energy or construction industry.
  • Proficiency in document control software and systems, such as Aconex, SharePoint, or Documentum.
  • Strong organizational skills with meticulous attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to work collaboratively in a fast-paced environment with multiple stakeholders and tight deadlines.
  • Familiarity with relevant regulatory requirements and industry standards.
  • Certification in document control (e.g., PMP, CMDCP) is a plus
  • Self-motivated, excellent problem-solving abilities and proven decision-making skills.
  • Flexibility and the ability to travel where required.
